Position Summary
The Administrative Assistant will support daily office operations, ensuring a smooth, organized, and welcoming environment. Responsibilities include coordinating office events, managing calendars, handling confidential information, assisting with meeting and information requests, and supporting general office needs such as expense reporting and drafting correspondence. The ideal candidate is proactive, detail-oriented, and able to balance multiple priorities professionally.
Key Responsibilities
- Manage and coordinate office events and employee engagement initiatives.
- Assist with meeting and information requests as appropriate.
- Manage calendars and schedule meetings, including executive-level calendar management.
- Complete expense reporting, book travel, and perform other administrative duties.
- Properly handle sensitive and confidential information/materials.
- Assist with outgoing packages and ordering office supplies.
- Ensure smooth daily office operations.
- Oversee meeting preparation, including materials printing, food/beverage coordination, and conference/videoconference setup.
- Draft, format, and edit letters and reports as needed.
- Ensure compliance and uphold professional standards.
- Other duties as assigned.
Qualifications
Required:
- 2–5 years of administrative and/or office management experience.
- Proficient in Microsoft Outlook, Excel, Word, and PowerPoint.
- Proactive team player with a collaborative spirit.
- Strong judgment and ability to anticipate and resolve issues.
- Excellent written and verbal communication skills.
- Extreme attention to detail, ability to multitask, and strong organizational skills.
- Ability to work independently and as part of a team while managing multiple deadlines.
- Strong interpersonal skills.
Preferred:
- Associate or Bachelor’s degree in a relevant field.
- Experience using expense reporting and travel booking systems (e.g., Concur).
Compensation
- Pay Rate: $30–$37.50/hour
- Benefits: Eligible for medical, dental, vision, and 401(k).
