We are seeking a highly motivated and organized Administrative/Office Assistant to join our dynamic team. You will play a vital role in supporting our daily operations, providing efficient assistance to staff and management, and ensuring smooth communication within the office. With at least 5 years of relevant experience, you are proficient in administrative tasks and possess excellent communication and interpersonal skills.
Responsibilities:
Administrative Support:
Answer and direct phone calls, manage emails and other communication channels.
Schedule appointments and meetings for staff and management.
Prepare and distribute meeting agendas and minutes.
Maintain filing systems (physical and digital) for efficient document management.
Order and manage office supplies and equipment.
Coordinate travel arrangements for staff as needed.
General Tasks:
Greet visitors and provide basic information and assistance.
Manage petty cash and office expenses.
Assist with payroll processing (data entry, basic calculations).
Prepare basic reports and presentations as directed.
Support other departments as needed.
Requirements:
Minimum of 5 years of experience as an Administrative Assistant or similar role.
Strong understanding of basic administrative tasks and procedures.
Excellent organizational, time management, and multitasking skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong communication, interpersonal, and customer service skills.
Ability to work independently and as part of a team.
Detail-oriented and highly organized with a strong sense of accuracy.
Ability to handle confidential information discreetly.
