Position Overview
The ideal candidate will have experience in accounts receivable, billing, collections, or general accounting and be comfortable communicating directly with customers regarding outstanding invoices. Key Responsibilities
- Prepare and process customer invoices in collaboration with project management and operations teams.
- Follow up with customers regarding outstanding invoices, overdue balances, and payment status.
- Research and resolve payment discrepancies, billing questions, and collection issues.
- Process customer payments, apply cash receipts, and record deposits accurately.
- Review project costs and supporting documentation to ensure accurate customer billing.
- Assist with AIA billing, accounts receivable invoicing, and material sales invoices.
- Maintain accurate customer accounts, contract files, invoice records, and supporting documentation.
- Prepare and process lien waivers as required.
- Assist with certified payroll documentation and reporting.
- Provide support for accounts payable activities as needed.
- Communicate with customers, vendors, project managers, and internal departments to resolve account issues.
- Assist with additional accounting and administrative responsibilities as needed.
Qualifications
- High school diploma or equivalent required.
- 2–3 years of experience in accounts receivable, accounts payable, billing, collections, or general accounting.
- Comfortable contacting customers regarding outstanding invoices and payment issues.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Excel and other Microsoft Office applications.
- Excellent written and verbal communication skills.
- Ability to multitask, prioritize deadlines, and work effectively in a fast-paced environment.
- Strong analytical and problem-solving abilities.
- Willingness to learn construction-specific accounting processes, including lien waivers and certified payroll.
Preferred Qualifications:
- Experience in the construction, subcontracting, or manufacturing industries.
- Familiarity with AIA billing and construction invoicing.
- Experience with construction accounting software or ERP systems.
- Exposure to project accounting, job costing, or contract documentation.
