We are seeking a detail-oriented Accounting Specialist to manage daily customer invoicing and payment application, with backup responsibility for accounts payable. This role keeps billing accurate and timely, works closely with internal teams and customers to resolve billing issues, and helps ensure continuity across the accounting function.
Responsibilities:
- Generate accurate, complete, and timely customer invoices daily
- Distribute invoices to customers via email or EDI according to customer requirements
- Manually enter invoices into customer portals as required
- Resolve billing errors and discrepancies through the issuance of debit and credit memos
- Respond to customer billing inquiries promptly and professionally
- Apply customer payments accurately to open invoices and accounts
- Perform weekly reconciliations to confirm all shipments have been posted in the Accounts Receivable module
- Research and resolve unapplied cash, short pays, and posting discrepancies
- Coordinate with operations, shipping, customer service, and other internal staff to obtain the documentation needed to complete invoices and resolve customer requests
- Follow up on missing or incomplete information to prevent billing delays
- Serve as backup to the Accounts Payable lead, maintaining a working knowledge of AP processes and tasks
- Provide coverage during absences to keep invoice processing and payments on schedule
Systems:
- Sage 500
- Excel: ability to organize, analyze, and reconcile data (pivot tables and lookups a plus)
- DocuWare
Requirements:
- 2+ years of accounting experience, with a focus on billing, accounts receivable, or accounts payable
- Experience with customer invoicing, cash application, and credit/debit memo processing
- Strong attention to detail and organizational skills
- Ability to manage daily deadlines and prioritize competing tasks
- Strong written and verbal communication skills
- Associate’s or bachelor’s degree in Accounting, Finance, or a related field preferred; relevant experience considered in lieu of a degree
