About The Company:
A full-service commercial flooring contractor headquartered in Sterling, VA, specializing in supplying, coordinating, and installing flooring for commercial construction and renovation projects throughout the DC, Maryland, and Northern Virginia area.
Job Description:
An established commercial flooring contractor is seeking an organized and detail-oriented Assistant to the Program Manager to support its Flooring Division. This individual will work closely with the Program Manager and project management team, providing administrative and project coordination support to keep projects organized and moving forward from the initial bidding stage through completion.

Key Responsibilities:
- Set up and maintain physical and electronic files for new bids and active flooring projects.
- Review project plans and take-offs and organize bid information.
- Enter and maintain new bids and projects in internal systems.
- Prepare and assemble project submittals, work orders, pick tickets, and installation packages.
- Track material lead times and coordinate with providers to ensure orders stay on schedule.
- Prepare award confirmation emails and follow up on outstanding documentation.
- Manage certificate of insurance (COI) requests.
- Coordinate UPS/FedEx shipments and assist with project scheduling.
- Assemble project closeout and warranty documentation.
- Provide additional administrative support to the project management team as needed.
Qualifications:
- 2–4 years of experience in project coordination, project administration, or a similar administrative support role.
- Experience supporting project managers and managing multiple projects simultaneously.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office, particularly Excel.
- Experience in construction, commercial flooring, or design is a plus.
- Familiarity with RFMS or other project management software is a plus.
- Bachelor's degree preferred.
