Job Description
Addison Group is partnering with our client to hire an HR Coordinator to support onboarding, payroll administration, and immigration processes. This role will play a key part in ensuring smooth employee lifecycle operations and maintaining accurate HR documentation.
Key Responsibilities
Onboarding & Offboarding
- Maintain organized electronic and physical personnel files, including scanning and filing documentation
- Support new hire processing for full-time staff, temporary employees, interns, and contingent workers
- Prepare and distribute onboarding paperwork and ensure completion of required forms
- Track and file drug screening results in employee records
- Follow up with employees regarding missing documentation
- Complete employment eligibility verification (I-9) requirements
Payroll Support
- Assist with payroll processing tasks, including preparing ADP upload files and communicating tax-related documentation
- Update employee status changes and support new hire and compensation adjustments
- Monitor and respond to inquiries in the payroll inbox
- Generate employment verification letters through HRIS systems and fulfill related requests
- Review payroll reports for accuracy and assist in resolving discrepancies
- Distribute pay statements and payroll-related documentation as needed
- Maintain payroll schedules and tracking logs to ensure deadlines are met
Global Mobility & Immigration
- Maintain organized records for visa sponsorship and work authorization documentation
- Review new hire paperwork for work authorization accuracy and follow up when additional information is needed
- Manage immigration files for current employees and establish new files when required
- Ensure Public Access Files are created, updated, and stored in compliance with regulations
- Coordinate meetings and communications related to employee visa matters
- Process, scan, and archive immigration documentation
- Review immigration applications to confirm accurate demographic information
Qualifications
- 1–3 years of experience in Human Resources or related field
- Familiarity with payroll systems such as ADP and HRIS platforms (Workday experience preferred)
- Strong organizational skills with high attention to detail
- Ability to manage confidential information with discretion
- Excellent communication skills and ability to collaborate across teams
