Job Description:

Our client is seeking an experienced Program Manager to lead the planning, coordination, and execution of a large-scale, multi-day program. This role requires strong project management expertise, exceptional organizational skills, and the ability to collaborate across teams and external partners. The ideal candidate will be comfortable managing complex timelines, coordinating content and speakers, and ensuring all program elements align with broader organizational goals.

Key Responsibilities:

Program & Project Management

  • Own the end-to-end project plan for a large-scale event, including timelines, milestones, and task dependencies.
  • Translate high-level program goals into structured work plans with clear deliverables and measurable outcomes.
  • Coordinate cross-functional teams to ensure alignment, accountability, and shared understanding of program objectives.
  • Track progress against schedules, identify risks early, and implement solutions to keep initiatives on track.
  • Act as the primary liaison between internal teams, external vendors, and advisory or design partners.
  • Facilitate project check-ins and status meetings, ensuring action items and deadlines are clearly communicated.
  • Maintain awareness of organizational priorities and ensure programs reflect and support strategic initiatives.

Content & Speaker Coordination

  • Oversee the proposal submission process, including managing timelines, reviews, and session scheduling.
  • Coordinate logistics related to speakers, facilitators, and external consultants, including documentation and materials needed for contracts and promotions.
  • Partner with the events team to support keynote speakers and ensure content needs are met.

Qualifications:

  • Bachelor’s degree preferred.
  • Minimum of 5 years of experience in program or project management.
  • Proven experience leading cross-functional teams and managing external partnerships.
  • Demonstrated ability to align programs and initiatives with organizational strategy.
  • Strong written and verbal communication skills.
  • Highly organized, detail-oriented, and deadline-focused.
  • Ability to communicate effectively at all levels, manage competing priorities, and address challenges with professionalism and diplomacy.
  • Strong analytical, problem-solving, and decision-making skills.
  • Comfortable learning and adapting to new systems and technology as needed.
