Job Description:

The Customer Service & Administrative Assistant serves as the front-office hub for the organization, providing administrative, customer service, and operational support across multiple departments. This role is ideal for someone who enjoys interacting with people, staying organized, and building a long-term career within a growing company. The position supports daily office operations while gaining exposure to accounting, production, operations, and client-facing teams.


Key Responsibilities:

  • Greet visitors, vendors, and employees while managing front desk operations and office access procedures.
  • Answer and direct incoming calls, emails, and inquiries in a professional manner.
  • Monitor office activity and assist with maintaining a secure and organized workplace.
  • Support administrative functions including data entry, filing, document management, and record maintenance.
  • Assist with invoice preparation, account reconciliations, and other basic accounting-related tasks.
  • Coordinate incoming and outgoing mail, packages, and office materials.
  • Collaborate with departments including accounting, operations, production, and customer service.
  • Create and maintain process documentation and administrative procedures.
  • Utilize Microsoft Office applications to support daily business operations.
  • Participate in special projects and process improvement initiatives as assigned.

Qualifications:

  • High school diploma or GED required; Associate's degree preferred.
  • Previous experience in customer service, reception, administrative support, or office coordination required.
  • Exposure to bookkeeping, invoicing, accounting support, or reconciliations is highly preferred.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Typing speed of at least 40 WPM.
  • Ability to lift up to 40 pounds as needed.
  • Demonstrated desire for long-term career growth and advancement.
