Payroll Specialist
Our client is looking for an experienced Payroll Specialist to oversee end-to-end payroll administration for multiple business entities. This role requires a highly organized professional who can manage payroll with precision, maintain strict confidentiality, and collaborate effectively across HR, Finance, and leadership teams. The ideal candidate is detail-oriented, analytical, customer-focused, and dedicated to maintaining compliance while continuously improving payroll processes.
Key Responsibilities
- Manage full-cycle biweekly payroll processing for approximately 1,000 employees across the U.S. and Canada, including regular wages, incentive pay, commissions, bonuses, benefit deductions, taxes, and garnishments.
- Review and validate employee time records, ensuring compliance with applicable labor laws, company policies, and payroll procedures.
- Process employee lifecycle changes such as new hires, promotions, transfers, terminations, and compensation updates.
- Ensure payroll activities comply with federal, state, provincial, and local regulations, as well as company policies.
- Prepare payroll reconciliations, reports, and supporting documentation for internal stakeholders and audits.
- Serve as a point of contact for payroll-related questions from employees and partner with HR, Accounting, Benefits, and Finance to resolve discrepancies.
- Coordinate payroll tax registrations, filings, garnishments, and other statutory requirements across multiple jurisdictions.
- Assist with year-end payroll activities, including tax reporting and accrual reconciliations.
- Support internal and external audits by maintaining accurate payroll records and documentation.
- Work closely with payroll vendors and system administrators to ensure payroll systems remain accurate and up to date.
- Identify opportunities to streamline payroll operations, strengthen internal controls, and improve overall efficiency.
Qualifications
- Bachelor's degree in Accounting, Finance, Business Administration, Human Resources, or a related discipline, or an equivalent combination of education and payroll experience.
- Strong understanding of payroll tax regulations, wage and hour laws, garnishments, and payroll compliance requirements.
- Excellent analytical, organizational, and problem-solving skills with exceptional attention to detail.
- Ability to manage sensitive information with discretion while delivering outstanding internal customer service.
