Job Summary
We are seeking a detail-oriented Accounts Receivable (AR) Specialist to join our growing finance team. This role will focus on managing customer invoicing, cash application, and monitoring outstanding balances to ensure timely payment. The ideal candidate has strong experience working in SAP, excellent Excel skills, and the ability to communicate effectively with both customers and internal teams to resolve billing issues.
Key Responsibilities
Invoicing & Billing
- Generate and issue accurate customer invoices based on approved job details and supporting documentation
- Submit invoices through customer portals, websites, or email as required
- Ensure billing is completed accurately and in a timely manner
- Maintain organized records of billing activity and supporting documentation
Cash Application
- Post customer payments including ACH, wire transfers, checks, and credit cards in SAP
- Apply payments to the appropriate invoices and customer accounts
- Research and resolve unapplied or misapplied payments
Collections & Account Management
- Monitor customer accounts to identify past-due balances
- Follow up with customers via phone and email regarding outstanding invoices
- Maintain professional relationships with customers while ensuring timely collections
- Document collection efforts and customer communications within SAP or internal systems
Reconciliation & Reporting
- Reconcile AR subledger to the general ledger
- Research and resolve billing discrepancies or account issues
- Assist with month-end close activities related to accounts receivable
- Generate AR aging reports and assist management with reporting as needed
Administrative & Accounting Support
- Maintain accurate and organized financial records
- Support the accounting team with reporting and administrative tasks
- Ensure compliance with company policies and internal controls
- Assist with process improvements to increase efficiency within AR processes
Qualifications
- SAP experience required
- 1–3 years of Accounts Receivable, billing, or collections experience preferred
- Strong Excel skills required (data entry, basic formulas; pivot tables/VLOOKUPs a plus)
- Experience with customer portals and electronic invoicing preferred
- Strong attention to detail and organizational skills
- Excellent communication and customer service abilities
- Ability to manage multiple priorities and meet deadlines
