Job Description:
The Procurement Specialist will oversee purchasing activities, vendor coordination, contract support, budget tracking, and procurement compliance. The ideal candidate will help ensure timely acquisition of goods and services while maintaining accurate records, monitoring expenditures, and supporting organizational purchasing objectives.
Key Responsibilities:
- Coordinate the purchase of materials, supplies, equipment, and services in accordance with established procurement guidelines.
- Source qualified vendors and assist with obtaining competitive pricing to maximize value and cost efficiency.
- Review vendor quotes, proposals, and pricing information to support purchasing decisions.
- Maintain procurement records, purchase documentation, and supporting files in an organized electronic system.
- Track orders from requisition through delivery and resolve issues related to delayed, incorrect, or damaged shipments.
- Collaborate with departments to identify purchasing needs and verify funding availability before purchases are made.
- Support contract development activities, bid evaluations, and request-for-proposal (RFP) processes.
- Monitor spending activity and assist with budget management across programs and departments.
- Generate reports related to purchasing activity, vendor performance, expenditures, and inventory data.
- Assist in developing procurement procedures, training materials, and best practices for staff.
- Maintain detailed records of vendor selection decisions and purchasing justifications.
- Promote supplier diversity initiatives and identify opportunities to engage small and minority-owned businesses.
- Address vendor concerns and coordinate resolutions for product or service issues.
- Manage tracking systems for specialized purchasing programs and voucher-related transactions.
- Provide responsive customer service to internal stakeholders and external business partners.
Qualifications:
- Bachelor's degree in Business Administration or Finance and/or at least 3 years work experience in Procurement/Purchasing role or any combination of relevant work experience and education which provides the required knowledge, skills, and abilities.
- Minimum three years of purchasing, procurement, supply chain, or related administrative experience preferred.
- Familiarity with financial management principles and procurement compliance requirements.
- Strong analytical skills with the ability to evaluate pricing, budgets, and purchasing data.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
- Ability to manage multiple priorities while meeting deadlines in a dynamic work environment.
- Strong organizational skills and exceptional attention to detail.
- Ability to exercise sound judgment and maintain confidentiality when handling sensitive information.
- Reliable transportation required.
Preferred:
- Microix experience highly preferred.
- Knowledge of GAAP and OMB regulations governing non-profit agencies or ability to learn.
