Our client is a well-established, mission-driven organization based in Philadelphia, PA with a long track record of community impact through social services, housing, and support programs. They are seeking an experienced Executive Assistant to provide high-level administrative and operational support to three members of their senior leadership team.

Job Responsibilities:

  • Manage complex calendars for multiple senior leaders including scheduling meetings, calls, and travel arrangements
  • Plan, coordinate, and support internal meetings and events including logistics, materials, and follow-up
  • Reconcile and process monthly corporate credit card expenses through the expense reporting system
  • Draft, proofread, and coordinate correspondence, reports, and presentations on behalf of leadership
  • Greet and assist incoming guests and calls for the administrative suite with professionalism and discretion
  • Handle mail distribution, courier deliveries, and package preparation
  • Maintain office areas, conference rooms, storage, and supply inventory
  • Serve as liaison between staff and building management for facility maintenance requests
  • Support accounting functions including logging incoming payments, coordinating credit card distribution, and assisting with paycheck distribution
  • Serve as project coordinator for strategic initiatives as assigned by senior leadership
  • Handle highly confidential information with discretion at all times

Requirements:

  • Minimum 3 years of progressively challenging administrative and executive support experience
  • Prior experience supporting senior-level or C-suite executives strongly preferred
  • Strong proficiency in Microsoft Office Suite — Outlook, Word, Excel, PowerPoint, and SharePoint
  • Excellent written and verbal communication skills
  • Experience preparing reports, presentations, and extracting data
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Proactive, discreet, and professional demeanor
