This role will be foundational in helping establish operational consistency as the firm continues to expand.
Job Description:
We are seeking a highly organized and proactive Executive Assistant to support the CEO and leadership team. This individual will serve as the central coordination point for executive scheduling, meetings, travel, and in-office operations. The ideal candidate thrives in structured environments, brings strong attention to detail, and enjoys being the “go-to” support resource in a fast-paced, professional setting.
Key Responsibilities:
- Manage complex calendars and coordinate scheduling across multiple executives and external stakeholders
- Organize and support internal meetings, investor meetings, and board sessions
- Coordinate domestic and international travel arrangements
- Prepare materials, logistics, and scheduling support for board and leadership meetings
- Serve as the primary in-office support presence, including greeting guests and managing meeting readiness
- Support office operations such as meeting setup, supplies, and general organization
- Ensure seamless execution of in-person meetings, including room preparation and catering needs
- Act as a reliable point of contact for executive administrative needs, including occasional after-hours support
Qualifications:
- 3–5+ years of experience in an Executive Assistant or similar administrative support role
- Experience in professional services environments (finance, consulting, legal, accounting strongly preferred)
- Strong calendar management and multi-stakeholder coordination experience
- Excellent communication skills with a polished, professional demeanor
- High attention to detail and strong organizational skills
- Ability to work onsite 4 days per week with occasional early mornings or late evenings
- Tech-savvy with experience using modern scheduling and productivity tools
- Stable work history preferred (strong tenure highly valued)
- Bachelor’s degree preferred but not required
Additional Details:
- Direct hire role
- Reporting directly to the CEO
- Office is located at 1 Embarcadero Center, 24th Floor
- Standard hours: ~8:30/9:00 AM – 5:30/6:00 PM
- Occasional early board meetings (~8:00 AM) and rare after-hours support required
- Interview process includes virtual interview with CEO followed by onsite meetings
- Hiring timeline: ASAP
